Document Specialist
The Role
The Document Specialist supports the creation, review, and coordination of product labeling activities. This role works closely with internal teams as well as external contacts such as contract manufacturers, printing vendors, and other third-party suppliers to ensure labeling materials are accurate, approved, and delivered on time. The ideal candidate is detail-oriented, responsive, and comfortable working independently while communicating effectively with both internal and external partners. This is a full-time, paid, hourly, non-exempt, remote position.
Responsibilities
Coordinate labeling activities with external partners including contract manufacturers, printers, and third-party vendors
Communicate labeling requirements, revisions, and timelines clearly to outside contacts and impacted internal teams
Review labeling materials for accuracy, completeness, and consistency
Track labeling requests, changes, and approvals to ensure timely completion
Maintain organized labeling records and documentation
Work within company systems and procedures to support labeling compliance (Asana, Propel, Microsoft Office)
Respond promptly to inquiries and follow up as needed to keep projects moving
Escalate issues, delays, or discrepancies to appropriate internal stakeholders
Partner closely with Compliance and Graphic Design teams and coordinate communication of their requests with external partners
Coordinate with Operations Leadership on priority of label management ensuring alignment with current business and production needs
Perform other related duties as assigned.
This role will require travel <5 of the time on an as-needed basis with advance notice provided to the employee.
Qualifications
High school diploma or equivalent required.
Prior labeling, quality, or regulatory experience OR previous work with VMS (vitamins, minerals, and supplements) is required.
Demonstrated experience working with US FDA standards is strongly preferred.
Experience working with vendors, suppliers, or customer-facing roles is preferred; ability to interact professionally with third parties.
Strong attention to detail and accuracy.
Demonstrated work with version control, naming conventions, and document management.
Prior usage of project management tools (such as Asana) and/or QMS platforms is ideal.
Clear and professional written and verbal communication skills; professional-level fluency in English is required.
Ability to manage multiple tasks and meet deadlines.
Comfortable working independently with minimal supervision; organized, reliable, and responsive.
A minimum of basic computer skills (email, document review, tracking tools) is required; higher-level preferred.
Physical Requirements
Must be able to exert up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body.
This role involves sitting most of the time but may also involve moving for brief periods of time.
