PLM System Administrator I
The PLM System Administrator I, reporting to our PMO Director, will join our Project Management Office team to manage the administration of the MaryRuth’s Quality and Product Lifecycle Management System, Propel. This role will own daily Propel operational needs and user support requests, manage data integrity, build out reporting, ensure compliance, and coordinate the deployment and implementation of any Propel/Salesforce platform releases or updates. This is a full-time, salaried, exempt, remote role. Ideally, this position will work either US Central or Mountain time zone-aligned hours. The compensation range for this role is $82,500 to $90,000 USD/year.
Responsibilities
User & Ticket Support: Serve as the primary point of contact for Propel-related support requests; triage and resolve issues such as those related to user access, workflow errors, and system behavior, and maintain a support queue with documented resolution tracking.
User Training & Onboarding Support: Onboard new Propel users and develop role-appropriate system training as needed, working cross-functionally across Operations; maintain training materials and admin-level documentation to reflect current system configuration and workflows.
System Configuration: Within the Propel platform, configure and maintain user roles, permission sets, object lifecycles, and workflow automations for change orders, CAPAs, and document control processes.
Data Management: Own the integrity of master data within Propel, including product records, supplier records, document hierarchies, and controlled item numbering, and perform regular audits to identify and correct any discrepancies.
Reporting & Dashboards: Build and maintain Propel reports and dashboards that track key quality metrics (e.g. CAPA aging, document expiration dates, change order cycle time, and audit findings) and distribute recurring reports to QA and Operations leadership.
Regulatory Compliance : Ensure that all system configurations, processes, and updates align with 21 CFR 111, 21 CFR 117, and 21 CFR 101 requirements.
Process & System Improvement: Identify gaps or inefficiencies in current QMS/PLM workflows; propose and implement configuration changes or process updates, leading improvement projects from requirements gathering through sandbox testing and production deployment.
Release Management: Regularly review Propel/Salesforce platform release notes, test new features in a sandbox environment, and coordinate production deployment with minimal disruption to workflows and users.
Other responsibilities as assigned.
Travel (<5%) may be required on an as-needed basis with advance notice provided to the employee.
Qualifications
3-5 years of hands-on administration experience with Propel (strongly preferred) or equivalent experience with a comparable QMS/PLM platform (e.g., Veeva Vault, MasterControl, Arena PLM).
Salesforce Administrator experience required; Salesforce Certified Administrator (ADM 201) preferred.
Proficiency with Salesforce Flows, permission sets, profiles, object configuration, and report/dashboard builder.
Experience with Salesforce Data Loader or equivalent for bulk data imports/exports.
Familiarity with outside integrations, APIs, MCPs; proficiency in troubleshooting connection issues and collaborating with IT or integration partners.
Working knowledge of 21 CFR 111 cGMP requirements for dietary supplements is strongly preferred; familiarity with 21 CFR 101 and 117 is a plus.
Demonstrated experience supporting internal or third-party GMP audits, including pulling records, generating reports, and demonstrating system traceability.
Practical understanding of document control, change control, and CAPA processes in a regulated manufacturing environment.
Strong understanding of supplier qualification workflows, specifically managing approved supplier lists, incoming material specs, and COA review processes within a QMS.
Proven ability to translate business or quality process requirements into system configuration; deep understanding of why workflows are structured in specific ways.
Experience building reports or dashboards that non-technical stakeholders (QA managers, ops leads) can interpret and act utilize for decisions.
Comfortable owning a support queue independently with minimal escalation.
Proficiency in Microsoft Office or Google Suite required; project management platform experience (e.g. Asana) preferred.
CPG, dietary supplement, food, or pharmaceutical industry background and/or experience with an LMS integration or administering training record workflows within a QMS is a plus.
Physical Requirements
Must be able to exert up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body.
This role involves sitting most of the time but may also involve moving for brief periods of time.
